Search might not be the flashiest or most talked about tool on Benchling, but it sure is important. Even Benchlings sometimes forget the power of Search--probably the most useful aspect of searching is distilling a list of entities based on certain parameters (and there are a lot to choose from), selecting those entities, and performing a bulk action such as moving the, registering them, exporting them, or editing them.

To help keep Search and all it’s wonderful functionality top-of-mind, we created a Best Practice Guide (BPG 😎) with examples, tips, and guidelines.

  • Options for Effective & Targeted Search We actually have several different places where you can search in Benchling, all with slightly different functionality. Choose between Project Search, Registry Search, Inventory Search, or Global Search based on what you need to find. (If you use Workflows, you can also use Workflows specific search 🙃)
  • The Power of Filtered Search - As we mentioned above, there are LOTS of filter options that can be applied and stacked to find exactly what you’re looking for
  • Best Practice: Perform Bulk Actions from Search - Once you have a beautiful search, select the entities and apply an action to the whole list
  • Best Practices: Sample Search - If you’ve spent time creating a very specific filtered search or regularly use the same filters, save it for later!
  • Best Practices: Shared Searches Not the only one who uses a specific set of search filters? Share it with your team!

Full BPG attached below!

Be sure to join the conversation to let us know how you’re searching, sharing, and performing bulk actions 🙌 This is also a great place to post questions on search.

New Search BPG Topic: Inserting Saved Searched! 🚀 This is another great way to surface data within a Notebook entry (in addition to Lookup Tables and Columns). Is anyone using this feature yet?

Hiya! I’ve been wracking my brain to figure out how to share searches across teams. No matter what I do - I can only share at the individual level. Thoughts?

Hi @GeorgeUncSolugen

You’re doing everything right to share your search! BUT….

It sounds like there are some permissions settings around the schema that are interfering with the search.  Without knowing exactly what is going on, I can only make a guess, but it sounds like you will have to either modify the schema permissions involved in the search to allow members of the team to be able to view that schema before sharing out the search again.

At the moment, users who have been given the permission to view the schema type and are members of the “Project C3” should be able to use this search.  Here’s a quick resource for accessing and modifying those schema permissions!

Let me know if this works!

Hi @Siddharth.Ramshankar  - Thank you for your quick response!

That’s the odd thing - the schema and all relevant fields we are searching against is shared across the organisation and teams (C3 in this case).

I went ahead and added each individual from the C3 team as an independent share as opposed to the whole “Team” and everyone has access, no permission issues coming up. Is the flag of permission issues more of a blanket statement and the users within the team have access anyway?

I tested this by creating a Test Team with just myself (Admin across the entire tenant), and a new entity with just one flat text field for metadata. Giving myself permission on the schema, my Test Team, and the entire Organisation as well. When I tried to share a search with my Test Team, I got the same error.

Thoughts? :/

Hey @GeorgeUncSolugen -- this sounds like it could be a bug situation or unexpected product behavior. Would you be able to pass this along to Support and let us know the outcome?
